Payment Details

Great… this is the third and last page of the agreement. We use this to highlight the “meat” of your service (so to speak).

Two super-important notes:

Scope:

EHR will supply Client with dictation transcription services using professionally trained and qualified transcriptionists.
Each Client "User" or representative will have an exclusive web-based transcription account through which he/she will manage their transcriptions.
EHR will create custom document templates in accordance with Client specifications upon which to record Client's dictated data.
Client and its agents will use digital dictation recording devices to create voice files and transmit the same electronically to EHR.
Connectivity between the parties will be via EHR Online; EHR's secure, web based transcription platform.

Transcription Document Definition:

For the purpose of quality monitoring, billing, and other related measurement, "transcription document" is defined as: A transcribed report of a single telephone dictation delivered by EHR to Client.

Turnaround Time:

EHR will deliver transcribed reports back to Client within twenty-four (24) hours from receipt of the dictation through either telephone or digital file, provided regular workflow is established with Client.
Without regular workflow, transcriptions will be processed on a first-in, first-out basis along with other work, which can lead to turnaround times beyond 24 hours.

Billing Rate per Transcribed Line & Optional Services:

A Transcribed Gross Line is defined as containing 65 characters or keystrokes. The billing rate per transcribed line is $0.13.
Rate Determined by taking the total transcribed letters and keystrokes and dividing by 65 to determine a line (i.e., 2000 keystrokes /65 characters = 30.76 lines at 12.5¢ per line = $3.99).
Fee for optional auto-faxing of reports to referring physicians is $0.30 (twenty cents) per faxed page.
Fee for optional iOS (iPhone, iPad) dictation application is $97 per user per year. Initial fee shall be charged on first invoice. Subsequent annual fee shall be charged yearly.

Payment Terms/Invoicing:

Invoices shall be sent electronically (via email) on the 1st day of each month to cover services rendered for the previous month.
Payment is due within 15 days of invoicing.
Minimum service fees in the amount of $130 per month are charged in order to keep account active. If delivered service is less than this amount, billable amount will be grossed up to $130.00.
Preferred method of payment is via direct deposit, while credit card (carries pass-through transaction fee of 2.9%) or check is also acceptable, provided payment is received within fifteen days of invoice date.
Payments received after 15 days of invoice automatically incur a late fee of $35.00 or 1.5% per month, the greater of the two.
